Printer sharing

This is the method which can be used to all computers print to the same print device. Where printer is concerned three terms need to be remembered:

Printer: This relates to the driver software of the print device and not the actual printer.


Print device: This defines the actual physical device which does the printing.


Print Server

  This defines the computer to which the printer is physically connected. In case of a network all print request are received by this computer and it will then forward it to the print device.



Installing a Printer

Modern print devices come with an installation CD which is used to install the software required to run the print device. Old version printers can be installed from the control panel à Printers applet.

Steps to install a local printer in the Print Server: (Method For Legacy Printers)

1. Open Control Panel | Printers and faxes | Click on option Add a Printer.

2. In the welcome screen Click Next.


3.    Select option install a local printer | (if using a legacy printer then remove tick from option automatically detect and install my plug and play printer) | Next.

4. Select the port to which the printer is attached (LPT1: parallel port) | Next.

5. Then from the list select the manufacturer company name and model number of printer| Click Next.

OR if you have Driver CD click on HAVE DISK button.

6. Next enter a name for the printer (any name) | Click Next.


7. Then in the Printer Sharing option select option Share name and enter a share name for the printer | Next.

8. Enter a location and comment for the printer this is optional and can be left as empty | Next.

9. Then do you want to print a test page option will be displayed | select yes or no. | Next 

10. Then a summary of the Printer settings will be displayed | Click Finish.

 


To install a Network printer

NOTE: This step should be followed in all client computers. We can install network printers in 2 ways:-

First Method: (in client computers)

1.    Open control panel | Printers and Faxes.

2.    Click on option Add a Printer.

3.    Click Next -- select option install network printer | Next.

4. Then select one of the following options:
  Browse to search for a printer    OR

 Select option connect to this printer and then type the path of the printer. Ex: \\computername\printersharename
          Connect to a printer on the internet. |Next


NOTE: We will be prompted to enter a user name and password, here enter the administrator user and password and click ok.

5.    Then a message will be displayed saying “You are about to connect to a printer on remote computer would you like to continue” here click on Yes to continue Installation.

6. Then select yes for option do you want to make this the default printer | Next | Finish.

Second method:
  1. Go to run and type \\computername\printersharename to connect to the printer and install it.  
  2.  Then a message will be displayed you are about to connect to a printer | Click Yes.
